Privacy Notice

This notice explains how information is collected, used, monitored, disclosed, protected, and retained in this private business system.
1. Scope
This Privacy Notice describes information processed through Ramani Group OS for authorized workforce and business users. It supplements applicable employee notices, contracts, project policies, and third-party privacy notices.
2. Information collected
The system processes identity and profile details; invitations and roles; authentication, IP, device, and browser data; projects, property and construction records; financials and forecasts; messages, tasks, approvals, files, and email; AppFolio, Google, Microsoft, and other connected data; attendance and clock-in or clock-out location; support requests; and security and audit events.
3. How information is used
Information is used to authenticate users, enforce permissions, operate projects and property management, administer personnel and attendance, communicate, organize records, provide Ravi features, secure and audit the system, investigate misuse, satisfy contracts and legal duties, preserve records, and improve company operations.
4. Sources
Information comes from users, Ramani Group administrators and records, invited collaborators, devices and browsers, connected services, AppFolio and other business platforms, and automated processing performed at Ramani Group’s direction.
5. Disclosure
Information may be available to authorized Ramani Group owners, administrators, managers, employees, contractors, advisors, auditors, insurers, service providers, and counterparties according to role and business need. It may also be disclosed to comply with law, protect rights and safety, investigate wrongdoing, complete a business transaction, or follow the user’s authorized sharing instructions. Ramani Group does not sell personal information through this internal system.
6. Service providers
Cloud hosting, database, object storage, authentication, email delivery, AI, AppFolio, Google, Microsoft, and other providers process information to deliver configured services. Their processing is subject to applicable agreements and their own terms. Administrators control which integrations are enabled.
7. Retention
Information is retained according to operational need, legal and contractual duties, litigation holds, security needs, employment and project requirements, backup cycles, and Ramani Group policy. Connected copies may remain after disconnection when required as company records. Administrators may archive or delete information when permitted.
8. Security
Ramani Group uses role-based access, encrypted credential storage, private object storage, audit records, and other administrative and technical safeguards. No system can guarantee absolute security. Users must protect their accounts and report suspected incidents promptly.
9. Choices and rights
Users may request access, correction, or other action by contacting Ramani Group. Requests may be limited by company ownership, legal holds, privileges, security, employment requirements, or applicable law. Location permission can be denied at the device level, although Ramani Group may require alternative attendance evidence.
